Manage your workspace

Use Admin to run your Salestrics workspace: people, billing, AI rules, integrations, security, and intake forms. Open App Launcher → Admin (/admin). Most settings require an Organization Administrator or Organization Manager role.

This guide covers every Admin area. For outside AI agents (Cursor, Claude, VS Code), see Salestrics MCP for architecture, tool catalogs, and client setup.

How Admin is organized

Admin is a hub of modules. Each module has its own page and URL.

Admin home

Admin → Home (/admin) shows:

  • Seat utilization and plan summary
  • Counts for users, groups, roles, profiles, and custom apps
  • Recently active people
  • Quick links to every module

New workspaces may see a setup wizard that walks you through company details, people, and a plan.


People, roles, and seats

Open Admin → Users (/admin/users). Three tabs organize people and access.

Seats

A seat is a licensed workspace member. Each active licensed user counts toward your plan limit.

Check seat usage on Users → Overview, Users → Directory (/admin/users/u), or Admin → Billing. When seats are full, add seats in Billing or turn off inactive users.

One email address can belong to only one Salestrics workspace.

Add a licensed user

  1. Open Admin → Users → Directory (/admin/users/u).
  2. Click Add user.
  3. Enter name, email, and a temporary password (must meet password policy).
  4. Optionally set job title, department, and manager.
  5. After creation, assign a role and profile (see below).

If no seats remain, Billing prompts you to upgrade or buy an additional license.

Add an Orbit-only user

From Users → Directory, click Add Orbit user. Orbit users can use the org social feed without consuming a paid seat. Plans that include Orbit are listed in Plans and limits.

Turn off a user

Find the person in Users → Directory. Deactivate their access. They can no longer sign in, but their past work stays in the workspace. They no longer use an active seat.

Groups

Open Admin → Users → Groups (/admin/users/g). Groups organize people into teams or departments. Assign users to groups from group detail pages. Groups help with reporting and access scoping.

Roles (hierarchy)

Open Admin → Users → Roles (/admin/users/roles). Roles define where someone sits in the org hierarchy — who they report to and who can co-manage administration.

Built-in roles include:

You can create custom roles with a hierarchy level and optional co-ownership (for manager tiers). Assign users to roles from each role's detail page.

Profiles (app permissions)

Open Admin → Users → Profiles (/admin/users/profiles). Profiles control which Salestrics apps and capabilities a person can use — separate from hierarchy.

Assign profiles from each profile's detail page. A person can hold one role and one or more profiles.

Access management workflow

Typical flow for a new hire:

  1. Add the person in Users → Directory.
  2. Assign a role (hierarchy) in Users → Roles.
  3. Assign a profile (app access) in Users → Profiles.
  4. Add them to relevant groups in Users → Groups.

Billing and plans

Open Admin → Billing (/admin/billing).

Start a trial

Each workspace gets one 30-day free trial on any paid plan — no credit card required.

  1. Open Admin → Billing.
  2. Pick Solo, Team, Growth, Scale, or Enterprise.
  3. Click Start 30-day free trial.

During a trial you get full plan limits. You cannot buy extra seats or AI token packs until the trial ends or you subscribe.

The page shows your renewal date, billing cycle, and next reset date.

Manage subscription

On a paid plan with Stripe configured:

  • Manage subscription opens the Stripe customer portal — update payment method, change plan, or cancel.
  • Add seat buys an additional license ($25/month per seat on paid plans).
  • AI token packs are one-time top-ups when not on trial. Bonus tokens roll over until used.

Contact sales for custom Enterprise implementations (dedicated hosting, custom AI models).

Plan & usage in Organization

Admin → Organization → Plan & usage (/admin/org, Plan & usage tab) mirrors key billing meters and links to Billing for changes.


AI Guardrails

Open Admin → AI Guardrails (/admin/ai).

These rules apply workspace-wide to Salestrics AI (Assistant, embedded panels, and backend workflows). They do not replace MCP key scopes for outside agents — see Integrations and Salestrics MCP.

Default AI model

Choose the default model for embedded AI panels, workflows, and Assistant. Individual users can override the model per chat in Assistant.

Connected applications

Turn Salestrics AI on or off per app (Momentum, Resolve, Ledger, Insight, Connect, and others). Disabled apps block embedded AI and related assistant tools for that surface.

Token cap per request

Set an optional max tokens per request (default 24,576). Caps how large a single AI completion can be.

Workflow allowlist

Block specific assistant workflows while keeping the rest enabled. Search and filter the workflow table, then toggle Allowed per row. Changes save immediately per workflow.

Organization AI instructions

Customize how Salestrics AI speaks for your company:

  • Company context and tone
  • Communication style
  • Role-specific guidance (sales, service, finance)
  • Terminology overrides (replace generic terms with your vocabulary)

Preview instructions against sample scenarios (assistant reply, summary, email draft, recommendations) before saving.

Token usage

The page shows your workspace AI token usage with a link to Billing for limits and token packs. See Salestrics AI for in-app help.


Integrations (MCP and third-party connectors)

Open Admin → Integrations (/admin/integrations).

This page powers Salestrics AI inside the app and the hosted MCP server for outside agents. Both use the same connector credentials.

Access controls

Save access controls before creating API keys.

Connection keys (outside agents)

  1. Turn integrations on and save access controls.
  2. Create a connection key with a clear name (for example "Cursor — Alex laptop").
  3. Copy the key when shown — you will not see the full key again.
  4. Pick your agent app and copy the setup block.
  5. Revoke keys when a device is lost or a person leaves.

Each key works for the whole workspace. Outside agents connect to https://app.salestrics.com/api/mcp (Streamable HTTP). See Salestrics MCP for the optional stdio bridge.

Built-in connectors

Configure once in Admin. Credentials stay in Salestrics; agents see proxied tools (for example stripe__list_customers), not raw API tokens.

For each connector: enter credentials, click Save credentials, then enable the toggle. Remove credentials with Remove if you disconnect a service.

Custom MCP integrations

Add private MCP servers (HTTP URL or stdio command). Custom tools appear to outside agents with a custom__ prefix. HTTP integrations can also be used by the in-product Assistant.

Web-to-Case

Open Admin → Web-to-Case (/admin/cases/web-form).

Capture customer issues from email and your website into Resolve cases.

Email-to-Case

Messages sent to your organization inbox (shown on the page, typically org@mysalestrics.com) automatically create Resolve cases. This inbox is reserved for case intake — it does not appear in Salestrics Mail.

Web-to-Case form

Build a public form for your website:

  1. Set form title, description, and success message.
  2. Configure fields (text, email, long text) and mark required fields.
  3. Toggle Enabled when ready.
  4. Copy the embed code or public URL into your site.

Submissions create cases in Resolve. See Resolve for case workflows and Salestrics Mail for case email routing.


Organization settings

Open Admin → My Organization (/admin/org).

Company profile

Update your company name, phone, email, website, billing and mailing addresses, and internal notes. Changes apply workspace-wide for invoices, emails, and branding.

Contacts

Set primary and billing contacts used on invoices and account communications.

Security tab (read-only)

Organization → Security shows authentication posture: SSO status, MFA requirement, compliance tier, data retention days, and active member count. Enterprise workspaces can click Edit platform settings to change these values.


Platform settings (Enterprise)

Open Admin → Platform settings (/admin/platform).

Available on Enterprise plans (and Enterprise+ custom contracts). Self-serve plans use standard defaults; the module appears on Admin home only when your plan includes it.

Regional defaults

Set default locale and timezone for new users and scheduled jobs.

API limits

Set the organization requests per hour cap (default 5,000; Enterprise orgs can raise it up to 100,000).


Audit and activity

MCP tool executions

Admin → Integrations shows Recent tool executions — the tool name and success/failure status for recent MCP calls. Use this to verify outside agents are behaving as expected.

Data import and export jobs

Admin → Data Import/Export (/admin/data-import-export) logs background import and export jobs with status (pending, processing, completed, failed). You receive a notification when a job finishes.

Trash

Admin → Trash (/admin/trash) lists deleted sales records. Restore items within 30 days; after that they are permanently removed.


Security best practices

People and access

  • Give Organization Administrator only to people who need billing and org control.
  • Use profiles for least-privilege app access — not everyone needs finance or mail admin.
  • Turn off users promptly when they leave; seats free up immediately.
  • Use Orbit User for social-only participants who should not consume a license.

Authentication (Enterprise)

  • Enable SSO and MFA in Platform settings when your plan supports it.
  • Review the Organization → Security tab after policy changes.

AI and integrations

  • Set AI Guardrails before rolling out Assistant broadly.
  • Block high-risk workflows in the workflow allowlist if your team does not need them.
  • Store connection keys like passwords; revoke lost keys in Integrations.
  • Configure third-party credentials only in Admin → Integrations — never in agent config files.
  • Turn on Require approval for write operations if agents should not change dashboards without review.

Data

  • Set data retention on Enterprise plans to match your compliance needs.
  • Use Data Import/Export for controlled bulk data movement instead of sharing exports informally.

Fix common problems

"No licensed seats available"

Open Admin → Billing. Add a seat or upgrade your plan. Or deactivate unused users in Users → Directory.

A user cannot see an app

Check their profile in Users → Profiles. Profiles grant app access; roles do not.

AI is disabled for an app

Open Admin → AI Guardrails and enable the app under Connected applications. Confirm your workspace has AI tokens remaining in Billing.

Integrations or MCP tools are missing

  1. Open Admin → Integrations and turn integrations on.
  2. Save credentials for the connector and enable it.
  3. For outside agents, create a fresh connection key and update the client config.
  4. See Salestrics MCP for list_integration_status and runtime diagnostics.

Platform settings is not on Admin home

SSO, MFA, compliance tiers, and API rate limits require an Enterprise plan. Self-serve plans use standard defaults.

Web form submissions do not create cases

Confirm the form is Enabled, the embed code points to the current URL, and your org inbox is configured. Check Resolve queues for new cases.
